Managing permissions and access levels for different user roles is a crucial aspect of any organization’s workflow. Recently, we had an interaction with a client that perfectly showcases how our Tags feature simplifies access control, especially for team leads (TLs) and supervisors who need restricted visibility over their teams.

The Challenge: Restricting User Access by Teams

Our client needed to grant read-only access to specific team leads, ensuring they could only monitor their department’s users and call recordings, without exposing data from other teams. The challenge was to ensure:

  • Team leads could monitor only the users in their own department.

  • Call recordings and logs remained confined to their team members.

  • A scalable and easy-to-manage solution.

The Solution: Using Tags for Granular User Access Control

Our support team quickly identified that our “Restricted by Tags” feature was the perfect solution. Here’s how it works:

  1. Assign Tags to Users:

Each user in the system is assigned a tag corresponding to their department.

  2. Tag the Admin (or Team Lead):

The admin user (team lead) is also assigned the same tag as their team.

  3. Enable Restricted Access by Tags:

Once the restriction is in place, the team lead can only view and monitor users with the same tag in the User Control Panel (UCP).

The Outcome: A Seamless Monitoring Experience

After implementing this solution, the client confirmed:

✔️ Team leads could only see the users assigned to them.

✔️ They could effectively monitor call recordings within their department.

✔️ Access was properly restricted, improving security and privacy.

Why Tags Matter

The Tags feature provides a scalable and flexible way to control user access across different levels of an organization. Instead of managing complex permission structures, administrators can simply assign and restrict users based on tags, making it easier to maintain security and compliance.

Benefits of Using Tags

Granular Access Control: Ensure users only see relevant data.

Simplified Administration: Reduce the overhead of manually managing permissions.

Improved Security & Compliance: Prevent unauthorized access to sensitive information.

Conclusion

This real-world use case highlights the power of Tags in managing user access control efficiently. If you’re looking for a way to simplify permission management and ensure team-specific visibility, the Tags feature is the way to go!
